Get your software renewals under control

Two fixed-price ways to stop missing notice windows and paying for tools nobody uses: a $29 spreadsheet pack you run yourself, or a $199 audit where we do the review for you. No call required.

Who this is for

This page is for the people who end up owning software spend and vendor risk at small and mid-size companies: CFOs, controllers, finance managers, and IT and security leads. Usually there is no dedicated procurement team. Contracts sit in a shared drive, in someone's inbox or in a card statement, and the person who signed up for a tool may have left the company.

If you have more than a handful of software subscriptions and no single list showing when each one renews, how much notice it needs and who owns it, this is for you.

The problem

Most software contracts renew automatically. Many require written notice 30, 60 or 90 days before the renewal date if you want to cancel, cut seats or change terms. Miss that window and you are often committed to another year at the same price or higher, whether or not anyone still uses the tool.

The same gap shows up on the risk side. Vendors get access to company data, security exceptions get approved "for now" and never revisited, and AI and software spend grows one subscription at a time, often bought on a card by a team rather than through finance. None of these are hard problems one at a time. They become expensive because nobody has a list, a date and an owner for each one.

The fix is unglamorous: write everything down in one place, work out every notice deadline, decide what to keep, cut or renegotiate, and review it on a schedule. The two offers below are two ways to get that done.

Option 1: Renewal & Risk Operator Pack, $29

The Renewal & Risk Operator Pack is $29: a renewal scorecard, a risk exception register, and a one-page meeting guide.

The pack is for teams that want to run the process themselves. It contains:

  • Software renewal scorecard, as a finished Excel and Google Sheets workbook. It tracks notice deadlines, cost per active user, estimated waste, a weighted score and a Renew, Renegotiate, Replace or Cancel recommendation for up to 300 contracts, with a dashboard of the next 10 deadlines and a filled-in sample.
  • Risk exception register, in Excel and Google Sheets, with 5x5 scoring before and after controls, an expiry status that updates automatically and a review log.
  • A one-page meeting guide for running the quarterly review with the people who own the contracts and the risks.
  • Bonus: the Grok Bot setup guide (6 ready-to-use setups).

It is a single-organization license. You fill it in with your own data; nothing is sent to us.

Option 2: Renewal Audit, $199

Renewal Audit is $199: upcoming software renewals reviewed, with what to keep, cut, or renegotiate.

The audit is for teams that would rather hand over the list. You send up to 25 software renewals from one organization. Within 5 business days of confirmed scope and payment you get a written report that includes:

  • A recommendation for each renewal: cut, renegotiate or keep, with the reason in plain terms.
  • The notice deadline for each contract, worked out from the renewal date and notice period you give us.
  • Negotiation points for each renewal marked renegotiate: what to ask for and what to bring to the call.
  • A renewal calendar showing every notice deadline and renewal date in order.

Emilio Santos does the review, with AI assistance, and reads every line of your file and of the report before it goes to you. It is not legal advice. Full scope, exclusions and data handling are on the Renewal Audit page.

How the audit works

  1. Email us. Write to circuits50capital@circuits.fit with the subject "Renewal Audit" and a line on how many renewals you have.
  2. Send your list. A CSV or spreadsheet with vendor (or an anonymized label), annual cost, renewal date, notice period, owner and usage notes. The renewal tracker template lists the same columns.
  3. Confirm scope. We confirm the scope by email and ask any clarifying questions in one round.
  4. Pay. Payment is arranged after scope is confirmed. The 5 business days start once payment is in.
  5. Get the report. You receive the written report and renewal calendar. We then delete the files you sent and our working copies.

Other fixed-price services

If your problem is not a renewal list, these services work the same way, by email at a fixed price:

Which one should I pick?

Pick the pack if you have the time to gather contracts yourself, want a tool you will keep using every quarter, or have more than 25 contracts. Pick the audit if you have a renewal list but not the hours to work through it, or you want a second set of eyes before a busy renewal season. Some teams do both: the audit for the first pass, the pack to keep it current.

FAQ

Do I need to get on a call?

No. Everything runs by email. The pack is an instant purchase, and the audit is ordered, scoped and delivered by email.

Can I do this myself for free?

Yes. The free Grok Bot prompt pack sets up a weekly renewal watch and other report-only routines. The free software renewal scorecard, risk exception register and SaaS renewal checklist cover the same method in the browser. The pack and the audit save you the setup or the work.

What if I have fewer than 25 renewals?

The audit price is the same, $199.

What if I have more than 25?

Email us for a quote, or use the pack, which handles up to 300 contracts.

Can I hide vendor names?

Yes. You may anonymize vendor names, for example "CRM A" and "CRM B". Tell us the category of each tool so the advice still makes sense.

Do you negotiate with vendors for us?

No. We do not contact vendors, log into your systems or review contracts as lawyers. You get the recommendations and negotiation points, and you or your team make the call.

Is my data used to train AI models?

No. Parts of your file are processed by AI tools as part of the analysis. Where a tool's settings let us turn off training on our inputs, we turn it off. If you would rather a file not be processed by AI tools, say so when you order. See the privacy policy.
