Most companies already use more AI tools than anyone has written down: chat assistants, meeting note-takers, coding assistants, browser extensions and AI features switched on inside existing SaaS. Customers and insurers now ask whether you have an AI policy, and staff want to know what they are allowed to paste where. This service gives you both pieces: a short policy people can follow, and an inventory that shows what you actually have.
What’s included
- AI acceptable-use policy. Two to four pages in Word and PDF: which tools are approved, what data may and may not go into them (for example customer data, source code, personal data, credentials), when human review is required, how to request a new tool, and who owns the policy. It is written to match the tools and rules you choose, not a generic ban or a blank permission.
- AI tool inventory. A spreadsheet (Excel and CSV) of up to 30 tools with: vendor, what it is used for, owner, plan type (free, team or enterprise), how people sign in, what data it can reach, whether the vendor says inputs are used for training on that plan and where they say it, and a suggested status: approve, approve with limits, or review.
- A short note listing the tools we would look at first and why, based on the data they can reach.
- One round of revisions.
What we need from you
- A list of up to 30 AI tools or AI features in use or under consideration. Names are enough; add who uses each one and for what if you know.
- The plan or tier for each tool if you know it (free, team, enterprise), since training and data terms often differ by plan.
- Your basic rules, if you have any: data that must never leave, regulated data you handle, customer contract requirements about AI.
- Your company size and industry, and the name or role of the policy owner.
Turnaround
4 business days from receiving your tool list and payment, including one business day for Emilio’s review. Revisions come back within 2 business days.

Who does the work
Emilio Santos does the work, with AI assistance. He uses general-purpose AI tools to help sort, draft and check, which means parts of what you send are processed by those tools. He reads every line of what you send and every line of the deliverable before it goes to you.
Your data
- Send files by email to circuits50capital@circuits.fit. They arrive and are stored in that mailbox.
- Please remove passwords, keys, account numbers, payment card numbers and protected health information before sending. We never ask for system access or credentials.
- Parts of your material are processed by AI tools as part of the work. Where a tool’s settings let us turn off the use of our inputs for model training, we turn it off, and we do not use your files to train models.
- We delete your files and our working copies within 30 days of delivery. Copies kept by email or AI providers under their own retention or backup schedules may last longer, and we do not control those.
- We do not sell or share your material except with the email and AI services used to receive and process it. See the privacy policy. If you would rather your material not be processed by AI tools, say so when you order and we will tell you whether we can do the work without them.
How to order
- Email circuits50capital@circuits.fit with the subject "AI Use Policy + AI Tool Inventory" and a short description. You can attach files now or after we reply.
- We confirm the scope with you by email.
- Payment is arranged after the scope is confirmed. The turnaround starts once payment is in.
After the scope is confirmed by email, you’ll be sent a secure Stripe card payment link.
FAQ
Do you cover AI agents as well as chat tools?
Yes. If an agent acts with its own identity or a person’s access, we note that in the inventory. The free AI agent inventory and agent access limit sheet go deeper on agents.
Will vendor terms change after you deliver?
Often. The inventory records the date we checked each vendor and links the source, so you can recheck later.
Does this cover the EU AI Act?
The policy can note that the Act may apply. Whether and how it applies to you is a legal question. See our guides for background.
Can I get the cost side too?
The free AI cost per task and token cost margin tools cover spend. A cost review can be added for a fixed quote.
